Welcome to Event Solutions. Thank you for choosing to participate in our events, expeditions, training programs, tours, and experiential services.
These Terms & Conditions govern your participation in all services offered by Event Solutions and its affiliates. Certain events, expeditions, training programs, or travel packages may have additional event-specific Terms & Conditions, which shall prevail wherever applicable.
By registering for, making payment towards, or participating in any Event Solutions service, you acknowledge that you have read, understood, and agreed to these Terms & Conditions.
Event Solutions reserves the right to amend these Terms & Conditions from time to time. Updated versions will be published on our official communication channels or website and shall become effective immediately unless otherwise specified.
General Terms & Conditions
Registration & Participation
- Full payment, unless otherwise specified, is mandatory for consideration of registration.
- Payment alone does not guarantee participation or reservation of a seat.
- Participation will be confirmed only after the participant successfully meets all eligibility criteria specified for the respective event, expedition, training program, or service.
- Participants who fail to satisfy the required eligibility criteria may have their registration cancelled without entitlement to participation.
- Event Solutions reserves the absolute right to accept or reject any registration at its sole discretion without assigning any reason.
- Event Solutions reserves the right to limit the number of participants based on safety, logistics, operational requirements, or event capacity.
Documentation
- Participants shall provide complete, accurate, and authentic information and documents whenever requested.
- Submission of false, misleading, or incomplete information may result in immediate cancellation of participation without refund.
- Event Solutions reserves the right to collect, verify, process, and securely store participant information solely for purposes related to the event, safety, legal compliance, operational requirements, and future communication, in accordance with applicable laws.
- Participants must complete and sign all declarations, waivers, indemnities, medical forms, and other legal documentation prior to participation.
Eligibility
- Participants must satisfy all eligibility requirements, including but not limited to age, licence validity, medical fitness, riding/driving experience, and safety requirements.
- Event Solutions reserves the right to deny participation if a participant is found medically unfit, under the influence of alcohol or drugs, or otherwise deemed unsafe for participation.
- Participants must possess all mandatory licences, permits, visas, insurance, or approvals required for the event.
Safety
- Participant safety shall always take precedence over the event schedule.
- Participants must follow all instructions issued by Event Solutions, instructors, marshals, tour leaders, medical personnel, and support staff.
- Unsafe riding/driving behaviour, reckless conduct, speeding, racing, dangerous overtaking, or violation of event protocols may result in immediate removal from the event.
- Participants shall wear all mandatory safety gear prescribed for the event.
- Event Solutions reserves the right to conduct breathalyser or other safety checks whenever considered necessary.
Medical Fitness
- Participants declare that they are physically and mentally fit to participate.
- All pre-existing medical conditions must be disclosed before the event.
- Event Solutions reserves the right to seek emergency medical treatment on behalf of the participant if required.
- Medical expenses incurred during the event shall be borne solely by the participant unless otherwise specified.
Insurance
- Participants are responsible for obtaining valid personal accident, medical, travel, and vehicle insurance wherever applicable.
- Event Solutions shall not be liable for losses arising from inadequate insurance coverage.
Vehicle Responsibility
- Participants are responsible for ensuring that their vehicle complies with all legal and safety requirements.
- Event Solutions reserves the right to inspect any participating vehicle before allowing participation.
- Vehicles found mechanically unsafe may be denied participation.
Event Changes
- Event Solutions reserves the right to modify the itinerary, routes, schedules, venues, accommodation, activities, instructors, or event duration without prior notice due to weather, road conditions, government regulations, force majeure, safety concerns, or operational requirements.
- Such modifications shall not constitute grounds for compensation.
Cancellation & Refund
- Cancellation policies shall be governed by the event-specific cancellation policy.
- If no event-specific policy exists, registration fees shall be non-refundable unless expressly approved by Event Solutions.
- Event Solutions reserves the right to cancel or postpone an event due to circumstances beyond its control.
- Refunds, if applicable, shall be processed as per the announced cancellation policy.
Photography & Media
- Event Solutions may photograph, film, record, or otherwise capture participants during the event.
- Participants grant Event Solutions the unrestricted right to use such photographs, videos, audio recordings, testimonials, and other content for promotional, educational, marketing, editorial, and commercial purposes without additional consent or compensation.
Liability
- Adventure activities inherently involve risks including injury, illness, property damage, disability, or death.
- Participants voluntarily assume these risks.
- Event Solutions, its affiliates, employees, instructors, sponsors, partners, and vendors shall not be liable for any injury, loss, theft, accident, delay, damage, or consequential loss arising during participation except where prohibited by applicable law.
Conduct
- Participants are expected to maintain professional, respectful, and courteous behaviour throughout the event.
- Any misconduct, abusive behaviour, harassment, discrimination, violence, or damage to property may result in immediate removal from the event without refund.
Force Majeure
- Event Solutions shall not be liable for cancellation, delay, modification, or interruption caused by events beyond its reasonable control, including but not limited to natural disasters, floods, earthquakes, landslides, pandemics, epidemics, government restrictions, war, civil unrest, strikes, road closures, political disturbances, or acts of God.
Intellectual Property
- All event content, training material, presentations, branding, logos, photographs, and documentation remain the intellectual property of Event Solutions unless otherwise stated.
- Reproduction or commercial use without written permission is prohibited.
Governing Law
- These Terms & Conditions shall be governed by the laws of India.
- Any disputes arising from these Terms shall be subject to the exclusive jurisdiction of the courts in Mohali, Punjab.
Acceptance
By registering for, making payment towards, or participating in any Event Solutions service, the participant confirms that they have read, understood, and agreed to these Terms & Conditions and any additional event-specific conditions communicated by Event Solutions.
